Fleetpass

Privacy

Fleetpass keeps vehicle documents and their expiry dates so it can remind you before they lapse. This page says plainly what is stored and who touches it.

What we store

Why we process it

To show you your documents, to read details from a document you upload so you do not have to type them, and to email you before something expires.

Who else is involved

Fleetpass runs on third-party infrastructure, and providing the service means those providers process your data on our behalf. They are:

So an uploaded file is processed to read its text, and that text is then processed to pick out those four details, which you review before anything is saved. This happens when you upload; documents are not sent anywhere afterwards. We do not sell your data and we do not use it for advertising, but it would be wrong to tell you it is never shared — these processors receive it in order to provide the service.

How your files are protected

Uploaded files are stored in private storage. They are not public and have no shareable address. When you open one, Fleetpass generates a short-lived link that expires after a few minutes. Your records are scoped to your own workspace, and other Fleetpass users cannot read them.

Emails we send

Account emails (confirming your address, resetting your password) and expiry reminders. You can turn reminder emails off in Settings → Notifications. We do not send marketing email.

Keeping and deleting data

Your documents stay until you remove them or ask us to delete your account. Because Fleetpass is in beta, deletion is handled by request rather than a self-service button: email us and we will delete your account, your records and your uploaded files.
